Job Summary
Title Company is seeking an experienced National Document Recording Specialist who is responsible for the review, preparation, and timely submission of real estate documents on behalf of clients. Real estate documents include all documents related to real property that are filed on public record at a local County Recorder’s office.
Essential Functions:
- Review unrecorded real estate documents for recordability prior to recording.
- Verify and/or calculate real estate transfer tax.
- Submit documents to counties for recording using electronic submission systems or by mailing recording documents directly to our recording service partners or counties.
- Answer phone calls or respond to emails from our recording service partners regarding rejected packages, correct, and resubmit to the county.
- Enter recording fees into Softpro and reconcile any recording fee discrepancies.
- Use FedEx/UPS to track incoming and outgoing documents.
- Must be able to interact effectively and professionally with others by email, phone or in person.
- Following strict regulations for safe-guarding confidential information.
- Handle all other essential tasks as assigned.
Knowledge and Skills/Technology Used
- Must have basic knowledge computer skills and be proficient in Microsoft Office products
- Must be able to work in a fast paced environment to meet tight county submission deadlines
- Knowledge of SoftPro is preferred
- Knowledge of county requirements on a national level is preferred
- Knowledge of real estate documents and title insurance on a national level is preferred
- Excellent verbal and written communication skills
- Positive/professional attitude and ability to work on a team
- Flexibility to perform various tasks
- Customer service skills
Typical Education
- High School diploma or equivalent
Typical Range of Experience
- 2+ years experience in title or escrow is preferred but not a requirement. Position is full-time and employee must report to the office. Candidate is required to pass a background check.

JOB SUMMARY:
Responsible for answering calls and emails from clients and notaries and resolving issues with orders from title clearance, closing, disbursements and policies and procedures. High level of client contact, sensitivity and resolution with a positive attitude. Perform all duties in accordance with the company’s policies and procedures, all US state and federal laws and regulations, wherein the company operates.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Answer and provide a resolution to a high volume of emails and phone calls.
- Review and provide instruction to customers on matter shown on a title commitment
- Work with available resources to resolve any title and closing related issues.
- Communicate issues to different internal departments to resolve customer issues.
- Provide accurate and timely communication of all updates, details, etc. to all parties involved in a transaction.
- Resolve problems regarding title delays, closing delays, disbursement delays.
- Perform data entry into multiple technology platforms.
- Perform other duties as assigned.
BACKGROUND PROFILEÂ : Title Assistant (mortgage / escrow)
ESSENTIAL KNOWLEDGE, SKILLS, ABILITIES, AND COMPETENCIES:
- Knowledge and ability to read and fully understand the title commitment and closing disclosure (“CD”).
- Extensive title and closing knowledge
- Excellent customer service skills with a positive attitude

- Excellent analytical and problem-solving skills
- Proficient in Microsoft Office Applications (Word, Excel, Outlook, Etc.)
- Ability to make decisions that have impact on the immediate work unit

- Ability to organize and prioritize own work schedule on short and long-term basis to meet deadlines and timelines.
- Experience with SoftPro is a plus

Banking and Disbursements – Originations Closing Specialist
Job Summary
Mortgage title insurance office setting where the banking associate will handle the incoming and outgoing funds, specifically for refinance transactions. Other duties may include support for additional teams when needed.
Essential Functions
- Performs banking and disbursement duties associated with mortgage refinance transactions.
- Duties include: depositing incoming checks and wires, auditing orders for discrepancies, verifying wire instructions, disbursing escrow transactions by wire and check, using multiple bank accounts and bank reconciliation. Communicating with borrowers and escrow team. Post-closing reconciliation.
- Follows strict regulations for safe-guarding confidential information.
- Handling time sensitive material.
- Fraud detection.
Knowledge and Skills/Technology Used
- Problem solving skills and a high attention to detail
- Strong organizational and time management skills
- Knowledge of SoftPro and banking platforms preferred
- Must be proficient with Outlook and Microsoft Office apps
